The VIP Personnel History Module is fully integrated to the VIP Payroll System and contains comprehensive employee details that are required for Human Capital Management. Customized HR reports can be printed combining payroll and personnel history information. The system provides guideline information on various agreements, contracts and procedures that are required in terms of South African legislation. Transactions can be printed or viewed on-screen. This provides the Human Resources Manager with accurate employee information.

VIP Advisor
Does your company have all Human Resource policies and procedures in place?
- The VIP Advisor allows easy access to information regarding legislation, policies, procedures and codes of good practice regulating the payroll and HR environment.
- Advisor buttons on various screens of the VIP System can be used to display applicable documentation.
- Examples of frequently used forms can be printed from the VIP Advisor, e.g. Disciplinary procedures.
- The OID (Occupational, Injuries & Disease) claim form can be printed from the VIP Advisor, using information directly from the VIP System.
Training and Qualifications
How many employees attended training this year? What was the cost to the company? What results were achieved?
- The system allows for accurate recording of training and development interventions.
- Individual training courses that form part of a qualification can be recorded separately for detailed monitoring of progress towards a qualification.
- Detail on training cost includes learner allowances (updated from the payroll), direct cost of training and additional training costs.
- Training information entered is automatically recorded for skills and equity reporting purposes.
- Keep record of non-completion of training courses.
Disciplinary Actions and other Interviews
How many disciplinary actions in each department? Which grievances are most commonly voiced in the company? Who is due for appraisals?
- The interview screen allows for accurate recording of discussions with employees. VIP provides pre-defined interview types as well as the functionality to add customized interview types.
- Interview types include: initial interviews, disciplinary enquiries and hearings, appraisal interviews and exit interviews.
- Details of the interview can be recorded, including interview dates, follow-up interview reminders and the outcome of the interview.
Terminations
How long was Mr Jacobs in our service? Why did he leave the company? What did he contribute to the Pension Scheme?
- On termination of an employee’s service the system allows for relevant details to be checked and recorded.
- Payroll Details include: outstanding loan balances, leave balances, service period information and salary information.
- Personnel Details include: outstanding items issued to the employee such as cell phones or laptops, details of training sessions planned for the employee and the recording of the exit interview conducted with the employee.
Items Issued
How can I keep track of items issued and to whom they must be returned?
- Keep record of different items issued to employees such as keys to the office, laptops, etc.
- The Items Issued indicates which items must be returned upon resignation.
Family Information
Who do I contact in an emergency?
Who are the dependants on the Medical Aid?
- The Family Screens record full details of the family members and next of kin.
- Indicate the relationship to the employee.
- Detail of beneficiaries for Pension/Provident Fund purposes can be recorded.
- Details of dependants for Medical Aid purposes can be recorded.
Medical Screen
How can I keep track of injuries on duty? How long was the employee absent from work? What was the cost the Company?
- Use the Medical Screen to keep record of OID incidents and follow-up examinations.
- Print detail of the incident as well as the OID claim forms directly from the screen.
- Determine the salary cost resulting from the accident.
- An on-line summary of the accident.

- Recognition for Prior Learning can record the prior learning and competencies of the employee.
- Vehicle Information can record an unlimited number of vehicles per employee and accidents or traffic fines.
- Problems can record the different types of problems e.g. Health problems.
